Information in Permits Online is organized in two different kinds of records; business entity records and commodity operations records.
The entity record equates to a single company or business entity, represented by a unique Employer Identification Number (EIN).
A commodity operations record is created for each TTB-regulated operation or permit, registration, or notice the entity is approved for.
A typical entity record will have at least one, but may have multiple commodity operations records associated with it. The commodity operations records may be for the same kind of activity conducted at different locations, for example if one company holds 5 wholesaler permits there will be 5 commodity operations records associated with a single entity record; or they may be for different types of TTB-regulated operations, such as when a single company holds an importers permit, a winery permit, and a brewers notice.
When applying to start a new TTB-regulated business, you'll complete both a new entity application and a new commodity operations application for each permit, registration, or notice you need.
If you need to file an amendment related to the business entity, you file one application and the changes are associated with each TTB permit, registration, or notice held by that company.
Entity record
All of the information specific to the business entity is contained in the entity record. This record includes:
- the business name
- Employer Identification Number (EIN)
- ownership information
- officers
- powers of attorney
- signing authorities
- trade names
When you make a change to (amend) any of this information, you will only submit one application and, when approved, the information will be associated with each commodity operation record for that Employer Identification Number (EIN).
Commodity Operations Record
Think of commodity operations records as a permit, registration, or notice record. All of the information related to each TTB-regulated operation is now contained in the commodity operations record. The commodity operations record includes:
- premises and mailing address
- Doing Business As (DBA) and/or operating name (if any)
- details about the location, building and specific operations
- any approved alternating proprietors/premises
- any non-contiguous locations
- any bonds or consent of surety
- any approved variances
Commodity operations records also contain the approval documents for that premises, including the actual permit, registration, or notice and any bonds, all of which reflect the latest information from the entity record. You can download the approval documents and save them to your computer or print them. They will, however, always be stored in this record.
You can see the relationship between the entity records and the commodity operations records by going to the "My Submissions" page.
Locate and select the applicable entity tracking number from the "My Records" list and scroll down to the "Related Records" section. You can expand the section to view the associated records by clicking on the arrow. In this example, this entity has a brewer's notice associated with it, as well as a Personnel Questionnaire.
